In accordance with the Agreement between the Detroit Association of Educational Office Employees (DAEOE) and the Board of Education of the School District of the City of Detroit, the following vacancy is announced. 

Position Summary

The individual will coordinate day to day office functions and deliver warehouse logistic support while providing good customer service to vendors, staff, and visitors. The clerical staff member will serve as a liaison to the District with facilitating the processes and procedures of warehouse services. This will include, but not be limited to creating and organizing a variety of reports, maintaining warehouse management software and inventory and requests spreadsheets, support delivery schedule creation and communication, create agendas, maintain meeting minutes, and any other documents relevant to warehouse operations. He/she must maintain accurate and appropriate records and files relative to the effective operation of the warehouse office supplies and inventory. The clerical team member must also coordinate meetings, conferences, seminars, special events, travel arrangements and process related expenses as needed. This person will also keep records and maintain payroll services for department staff.

Minimum Qualifications

  • Must possess and provide evidence of a High School Diploma or GED Certificate. 
  • Minimum of five (5) years of clerical/administrative experience.
  • Must be proficient in Microsoft Office Suite, Excel, PowerSchool and related software; preparation of documents; spreadsheets; PeopleSoft and web-based navigation.
  • Must possess good verbal, written, and interpersonal communication skills; ability to maintain a high level of confidentiality.
  • Ability to relate positively with staff, vendors, and clearly articulate program policy and procedures.
  • Ability to handle challenging behavior.

Essential Functions

  1. Coordinate day-to-day logistical functions for warehouse services
    1. Maintain mail delivery & pick-up schedules
    2. Schedule, track and communicate move management schedules
    3. Maintain logs and schedules for incoming warehouse deliveries
    4. Track warehouse inventory (incoming and outgoing) using spreadsheets and/or warehouse management-software
  2. Provide great customer service to vendors, staff and visitors by: 
    1. Greeting visitors and answering questions in-person, phone or email.
    2. Answering telephones utilizing good phone etiquette.
    3. Taking messages and routing calls appropriately.
    4. Educating and enforcing vendors, staff and visitors of warehouse guidelines and procedures
  3. Serve as liaison to provide and answer general information to vendors, parents, staff, and the community within delegated authority.
  4. Keep abreast of DPSCD Policies and Procedures in order to provide answers to pertinent questions for internal and external customers.
  5. Prepare, create and organize a variety of reports, memos, letters, agendas, meeting minutes, newsletters, flyers, spreadsheets, reports and other documents relevant to warehouse operations utilizing Microsoft Office; Word, Excel, Access, PowerPoint software programs, and warehouse management software.
  6. Ability to operate and maintain standard office equipment.
  7. Maintain accurate and appropriate records and files relative to the effective operation of the office; set up database(s), track files, purge files; Collect relevant operational and statistical data, enter, update, and scan inventory.
  8. Coordinate meetings, conferences, seminars, special events, travel arrangements and process related expenses and reimbursements.
  9. Process office mail, prepare and assist with bulk mailings.
  10. Perform other duties as assigned by supervisor.

Security Clearance:

Internal Applicants

If you are a current Detroit Public Schools Community District employee, you do not have to submit to a new security clearance, unless your new role requires a different type of criminal background check.

 

External Applicants

In alignment with Michigan law, if you are hired to fill a position, you will be required to submit to a Detroit Public Schools Community District criminal background check. Information regarding required background checks will be shared at point of hire.
