Position Summary

As a key member of the Technology Division’s Client Services Department, the Program Supervisor – supervises the staff and daily operations of the Student Records team.  The Program Supervisor-Student Records will manage a staff of client care specialists to greet customers and provide student records via a walk-up station, electronic mail, or mail. This role will be responsible for archiving, cataloguing and indexing physical warehouse documents in preparation for records management digitization, as well as ensuring timely processing of requests for transcripts, diplomas and education verifications. This position is accountable for managing and developing processes and procedures for the continued efficiency in the handling,retention and delivery of academic records based on the State of Michigan Records Retention and Disposal Schedule for Michigan Public Schools.  The successful candidate must be committed to fostering a welcoming environment for a diverse population of students, parents, staff and other constituents across the District.
Qualifications:

Education:

Bachelor’s degree in business administration, or a High school diploma/GED with at least five (5) years of experience directly related to records management, archives, or related field.

Experience: 

We are looking for talented people who are passionate about transforming Detroit Public Schools Community District (DPSCD) and making a significant difference in the lives of public school students, parents, principals, teachers, and central office employees. Expertise and experience working in an urban public school district is a plus.

  • Minimum of five (5) years of experience in a front-facing customer service environment
  • Minimum of three (3) years of supervisor experience; preferably with more than five (5) employees
  • Previous experience with a student information system, such as PowerSchool and IT Service Management or help desk/ticketing software is strongly preferred
  • Must be proficient-to advanced user of Microsoft Office 365/Suite products such as Word, Excel, PowerPoint, Outlook and SharePoint
  • Must be proficient user of scanning devices and imaging software.
  • Strong communication skills – written, verbal and interpersonal
  • Must be an active listener with the ability to identify and address the needs of the customer, as well as provide complete resolution for customers
  • Must be detail oriented and highly organized with good follow up and problem-solving skills
  • Must have good decision-making skills using critical thinking, research and problem solving to support direction
  • Ability to communicate technical information to students, parents, staff and community stakeholders in a clear and concise manner
  • Ability to maintain confidentiality of records and information
  • Ability to effectively handle multiple tasks in a challenging environment
  • Ability to handle stressful situations with empathy and professionalism

Security Clearance:

Internal Applicants

If you are a current Detroit Public Schools employee, presently employed with the district, you do not have to submit a fee related to obtaining the Detroit Public Schools security clearance, unless your new role requires a different type of security clearance.

External Applicants

If you are hired to fill a vacant position, you will be required to submit a Detroit Public Schools security clearance.
