In accordance with the Agreement between the Detroit Association of Educational Office Employees (DAEOE) and the Board of Education of the School District of the City of Detroit, the following vacancy is announced.
Position Summary:
The Technical Series III works within the Department of Ancillary Services, serving as a laiason between central office staff, building based personnel, and other District departments. The Technical Series III provides training to clerical staff pertaining to ancillary procedures, assists with payroll and the submission of requisitions, schedules student evaluations including the intake process, answers incoming call, responds to email communications, and maintains inventory of department supplies. The Technical Series III provides outstanding customer service to all stakeholders, and consistently models DPSCD’s core values.
Minimum Qualifications:
Candidate must possess and provide evidence of a High School Diploma or GED certificate
College coursework in clerical and office administration skills preferred
Minimum four (4) years of clerical/administrative experience.
Must possess excellent verbal, written, and interpersonal communication skills
Experience maintaining high level of confidentiality, responding to public inquiries and internal requests with a high degree of diplomacy and professionalism
Ability to work independently and collaboratively with others
Ability to work effectively and flexibly using proven organization/time management skills, performing multi-tasks and prioritizing work to meet deadlines and successfully achieve department goals.
Knowledge of school operations services, including but not limited to, filing systems, record keeping systems, business correspondence, and reporting formats
Experience working with diverse groups of people
Proficient in word processing, spreadsheet applications, the development of quality presentations, brochures and flyers, and other business related applications/software including Office 365 (Microsoft Word, Excel, PowerPoint, and Outlook)
Proficiency working with PeopleSoft and PowerSchool preferred
Essential Functions:
Serves as a laiason between central office staff, building based personnel, and other District departments.
Provides training to clerical staff pertaining to ancillary procedures rlevent to job duties.
Assists with the preparation and timely submission of payroll and payroll corrections.
Accurately submits ESE requisitions, receives on items/services purchased, and works collaboratively with the Procurement Department to resolve purchasing issues.
Schedules student evaluations and assists with he completion of the intake process.
Answers incoming office calls, returns calls within 24-48 hours, and responds to email communications in a timely manner.
Maintains comprehensive inventory of departmental supplies and communicating with ancillary administrators to ensure all items required to perform job functions have been requested.
Prepares a variety of reports, correspondence and related documents, data collection, assisting with the budget preparation process, maintaining records, and special projects.
Assists with requesting and collecting related data from District personnel and accurately compile data in a timely manner.
Assists with activities and department functions relevant to media relations and communications; assist with dissemination of information to stimulate interest in and broaden understanding of the District.
Keeps department leadership informed of progress of special projects and monitors projects to determined status of each project.
Coordinates and assists with planning of conferences and meetings; make travel reservations and keep calendar of appointments for executives.
Keeps informed of districts policies and procedures, answers related internal and external questions within purvue of job duties and responsibilities.
Researches and compiles relevant data and materials to supplement departmental reports, media relations, and the communication of activities.
Other duties as assigned by supervisor or designee.
